FreeBooks Privacy Policy

FreeBooks is bookkeeping software provided by Pacific Insurance Advisors ("we," "us"). This policy explains what information FreeBooks collects when you link a bank or credit card account, how we use it, and the choices you have.

1. Information we collect

When you choose to link a financial account, you sign in to your bank through Stripe, our financial data provider. With your permission, we receive:

  • Transactions: amount, date, description (such as the merchant name), and whether a transaction is pending or posted.

  • Basic account details: the bank's name, the account's display name and type, and the last four digits of the account number.

We do not receive or store your bank username or password; you enter those only with Stripe. We do not request account balances, account-owner names or addresses, or full account and routing numbers.

We also keep the minimum needed to operate the service: the company name you enter in FreeBooks, the invite code used to activate bank downloads, and a randomly generated identifier for your copy of FreeBooks.

2. How we use information

We use this information only to import your transactions into your FreeBooks ledger so you can review, categorize, and reconcile them. We do not sell your information, use it for advertising, or use it to evaluate credit.

3. Where your information is stored

  • Your books: your FreeBooks ledger, including downloaded transactions, is saved on your own computer.

  • Our service: our bank-download service passes transactions from Stripe to your copy of FreeBooks and does not keep a copy of them.

  • Stripe: Stripe keeps your linked accounts and transaction data so it can deliver updates, under the Stripe Privacy Policy.

Information is stored in the United States.

4. Who we share information with

We share information only with service providers that help us run FreeBooks bank downloads, and only to provide that service to you:

  • Stripe, Inc.: connects to your financial institution and provides transaction data.

  • Cloudflare, Inc.: hosts our bank-download service, which transactions pass through.

We may also disclose information if required by law. We do not share your information with other third parties for their own use.

5. Your choices

  • Unlink an account: in FreeBooks, go to Setup & Data → Bank downloads and click Unlink. Downloads from that account stop and the connection is closed at Stripe.

  • Stop all bank downloads: use Disconnect this company from bank downloads in the same section.

  • Delete your data: data on your computer is under your control and can be deleted in FreeBooks. To ask us to delete what our service and Stripe hold for you, contact us at the address below.

6. Security

Connections are encrypted. Our Stripe credentials are kept only on our server, never in the FreeBooks program. Each FreeBooks company has its own private identifier and can see only the accounts it linked.

7. Children

FreeBooks is intended for businesses and is not directed to children under 13.

8. Changes to this policy

If we change this policy, we will update the effective date above and, for significant changes, notify users in FreeBooks.
